For this reason the Company has formulated this policy to facilitate compliance with the Company\u2019s legal obligations under the Minnesota Occupational Safety and Health Administration,1910 Subpart E - Exit Routes and Emergency Planning &amp; 1910 Subpart L - Fire Protection.<\/p><p style=\"text-align:justify;\"><\/p><h3><strong>Policy objectives<\/strong><\/h3><ul><li><p style=\"text-align:justify;\">To provide a safe and healthy working environment for all staff and visitors\/customers.<\/p><\/li><li><p style=\"text-align:justify;\">To minimise the risks to the Company premises from fire.\u00a0<\/p><\/li><li><p style=\"text-align:justify;\">To manage fire risks in accordance with the requirements of the Minnesota Occupational Safety and Health Administration.\u00a0<\/p><\/li><li><p style=\"text-align:justify;\">To address obligations under the Minnesota Occupational Safety and Health Administration that requires the Company to:<\/p><ul><li><p style=\"text-align:justify;\">Develop a Fire Prevention Plan (FPP) to minimise the risks associated with fire.<\/p><\/li><li><p style=\"text-align:justify;\">Develop an Emergency Action Plan (EAP)<\/p><\/li><li><p style=\"text-align:justify;\">Demonstrate preventative action.<\/p><\/li><li><p style=\"text-align:justify;\">Maintain documentation and records in respect of fire safety management.<br \/><\/p><\/li><\/ul><\/li><\/ul><p><\/p><h3><strong>The Responsible Persons<\/strong><\/h3><p style=\"text-align:justify;\">The Company has appointed Laura Acres, Operations Director, as the \u2018responsible person\u2019. The responsible person\u2019s duties are to ensure the safety of staff and visitors\/customers by delegating responsibility to, training and supporting competent persons to undertake the local management of Safety and Health at the Winona Facility.<\/p><h3><strong>Competent Persons<\/strong><\/h3><p style=\"text-align:justify;\">The delegated responsibility of competent persons will sit with the Production Manager and Office Manager [Accounts Supervisor]. Their responsibilities will include;<\/p><ol><li><p style=\"text-align:justify;\">Carrying out a Fire Risk Assessment.\u00a0 The Fire Safety Risk Assessments will take into consideration everyone who may come onto the Company premises, whether they are employees, visitors or members of the general public. Particular attention will be paid to people who may have a disability or anyone with special needs.<\/p><\/li><li><p style=\"text-align:justify;\">Making sure, as far as is practical, that everyone on the premises, or nearby, can escape safely if there is a fire.<\/p><\/li><li><p style=\"text-align:justify;\">Preparing a written Emergency Action\/Evacuation Plan for the building to be displayed at various locations about the premises.<\/p><\/li><li><p style=\"text-align:justify;\">Preparing Personal Evacuation Plans for disabled persons (if relevant).<\/p><\/li><li><p style=\"text-align:justify;\">Act as Fire Wardens.<br \/><\/p><\/li><\/ol><p><\/p><h3><strong>Fire Wardens<\/strong><\/h3><p style=\"text-align:justify;\">The Company will appoint competent persons to act as Fire Wardens. The Fire Wardens\u2019 duties will include:<\/p><ol><li><p style=\"text-align:justify;\">Making contact with the emergency services.<\/p><\/li><li><p style=\"text-align:justify;\">Assisting in evacuations\/fire drills.<\/p><\/li><li><p style=\"text-align:justify;\">Carrying out regular checks on all fire safety equipment including emergency lights and alarms.<\/p><\/li><li><p style=\"text-align:justify;\">Ensuring that emergency escape routes are kept clear at all times and that doors designated as Fire Escapes are operable.\u00a0<\/p><\/li><li><p style=\"text-align:justify;\">The names and duties of all competent persons will be displayed on the safety notice board.\u00a0<\/p><\/li><\/ol><p><br \/><\/p><h3><strong>Fire Marshals<\/strong><\/h3><p style=\"text-align:justify;\">The Company will appoint competent persons to act as Fire Marshals. The Fire Marshals\u2019 duties will include:<\/p><ul><li><p style=\"text-align:justify;\">Assisting in evacuations\/fire drills.<\/p><\/li><li><p style=\"text-align:justify;\">Ensuring that emergency escape routes are kept clear at all times and that doors designated as Fire Escapes are operable.\u00a0<\/p><\/li><\/ul><p style=\"text-align:justify;\"><\/p><h3><strong>Communication<\/strong><\/h3><p>The Company will ensure that all persons employed either as direct employees or contractors are provided with all relevant information related to fire safety.\u00a0 The Management of the Company will consult with employees on all relevant matters of fire safety policy and arrangements, and will ensure staff are kept informed of any changes that are made to fire safety procedures.<\/p><p>The Company will also ensure that the evacuation procedures and assembly points are clearly on display about the premises.<\/p><p><\/p><h3><strong>Training<\/strong><\/h3><ol><li><p style=\"text-align:justify;\">Upon commencement of employment all employees will be given training on fire safety and will receive refresher training as appropriate.\u00a0<\/p><\/li><li><p style=\"text-align:justify;\">All employees will be instructed to report any defective or missing equipment to their supervisor or manager.<\/p><\/li><li><p style=\"text-align:justify;\">All employees will receive instruction on their role in the case of an emergency.<\/p><\/li><li><p style=\"text-align:justify;\">Further training may be required if there are any changes that may affect fire safety. All training will be provided during normal working hours.<\/p><\/li><\/ol><p><br \/><\/p><h3><strong>Equipment\/Testing<\/strong><\/h3><ol><li><p style=\"text-align:justify;\">The fire evacuation procedures will be practised every six months.<\/p><\/li><li><p style=\"text-align:justify;\">Fire fighting equipment will be provided. In general this means fire extinguishers but additional provision of fire blankets, hoses or sprinklers may be made where deemed appropriate by the findings of the risk assessment.\u00a0<\/p><\/li><li><p style=\"text-align:justify;\">All fire safety equipment will be serviced by a competent person and the service periods will be scheduled in accordance with the manufacturer\u2019s instructions.\u00a0<\/p><\/li><li><p style=\"text-align:justify;\">An appropriate fire detection and alarm system will be provided. The type and extent of the alarm system provided will be based on the findings of the risk assessment.\u00a0 Alarm systems will be tested regularly.\u00a0 Staff and visitors will be told when tests are scheduled.<\/p><\/li><li><p style=\"text-align:justify;\">Emergency lighting will be provided for escape routes where applicable. The location and type will be determined by the findings of the risk assessment.\u00a0<\/p><\/li><li><p style=\"text-align:justify;\">Operation of fire exit doors including any automatic closers will be tested and recorded in the fire log on a weekly basis.<\/p><\/li><li><p style=\"text-align:justify;\">Any other safety systems provided, such as emergency lighting and fire doors, will be checked regularly to ensure correct operation.<\/p><\/li><li><p style=\"text-align:justify;\">Sprinkler systems will be serviced by a competent contractor on an annual rolling basis as overseen by the competent persons\/Fire Wardens.<\/p><\/li><\/ol><p><br \/><\/p><h3><strong>Procedures<\/strong><\/h3><ol><li><p style=\"text-align:justify;\">The Company has introduced the following procedures in order to maintain high standards of fire safety:<\/p><\/li><li><p style=\"text-align:justify;\">Emergency escape routes will be established and kept free from obstruction at all times, and fire exit doors kept in good working order and unlocked at the times when the premises are occupied.\u00a0<\/p><\/li><li><p style=\"text-align:justify;\">The risk of fire spreading through the building will be controlled by the provision of fire\/smoke resisting doors.<\/p><\/li><li><p style=\"text-align:justify;\">Appropriate signs and notices will be displayed, giving appropriate instructions to employees and others in the event of a fire.\u00a0<\/p><\/li><li><p style=\"text-align:justify;\">Signs will be provided to indicate the position of fire extinguishers, fire alarm call points and emergency exit routes.\u00a0<\/p><\/li><li><p style=\"text-align:justify;\">All machinery\/plant will be tested in accordance with industry standards.<\/p><\/li><li><p style=\"text-align:justify;\">Flammable materials will be stored in accordance with the manufacturer\u2019s instructions and away from sources of ignition.<\/p><\/li><li><p style=\"text-align:justify;\">Waste materials will be stored away from any sources of ignition.<\/p><\/li><\/ol><p><br \/><\/p><h3><strong>Records<\/strong><\/h3><p style=\"text-align:justify;\">The Company will record its staff training including fire drills, and the findings of its periodic tests and checks.\u00a0 Such records will include all attendees, fire drill evacuation times and any comments.\u00a0 The Company will keep the following records:<\/p><ol><li><p style=\"text-align:justify;\">Records of quarterly tests of fire alarms, fire exits.<\/p><\/li><li><p style=\"text-align:justify;\">Records of annual inspections and tests of all fire fighting equipment.\u00a0<\/p><\/li><li><p style=\"text-align:justify;\">Records of periodic tests of emergency lighting (where fitted).<\/p><\/li><li><p style=\"text-align:justify;\">Records of all scheduled and unscheduled maintenance of fire detection and alarm systems.\u00a0<\/p><\/li><li><p style=\"text-align:justify;\">Records of inspection, risk assessment and maintenance of workplace and electrical equipment, storage of hazardous substances and other hazards identified with fire safety (where appropriate).<\/p><p><\/p><\/li><\/ol><p style=\"text-align:justify;\">This Policy will be reviewed annually and updated as necessary.
